About the Role
YAVICA is establishing a new Global Payroll & HR Operations Specialist role to support the continued growth and professionalization of our global organization.
The role is expected to be split approximately 50/50 between:
Global payroll, pension, and compensation administration (≈50%), and
Operational support to the HR department (≈50%)
This split reflects our current scale and needs. Over time, the balance may evolve as the company grows and processes mature.
The role acts as a key operational bridge between Finance and HR, ensuring accurate payroll execution, compliant pension contributions, high‑quality cost and rate data, and strong day‑to‑day HR operational support.
Scope of Responsibilities (Indicative Time Allocation)
1. Global Payroll, Pensions & Compensation (≈50%)
Payroll Operations
Own and manage end‑to‑end payroll processing for all YAVICA employees globally.
Coordinate with external payroll providers and local partners to ensure accurate and timely payroll.
Manage payroll calendars, cut‑off dates, validations, and approvals.
Handle payroll corrections, adjustments, and off‑cycle payments where required.
Pension & Statutory Contributions
Ensure correct pension contributions are calculated, reported, and paid in accordance with local legislation and company policies.
Oversee statutory contributions (tax, social security, mandatory benefits) in cooperation with local providers.
Payroll Data, Costing & Rates
Provide accurate payroll and compensation data to HR and Finance to support:
Cost calculations and forecasting.
Project cost models and billing rates.
Headcount and workforce planning.
Support payroll reconciliations, accruals, and audit documentation.
2. HR Operational Support (≈50%)
HR Administration & Operations
Support the HR department with day‑to‑day operational HR tasks, including:
Employment changes (salary changes, promotions, contract amendments).
Joiners, leavers, and offboarding coordination (HR side).
Maintenance of employee data in HR systems.
Ensure HR data is accurate, complete, and aligned with payroll records.
HR Processes & Governance
Contribute to the development, documentation, and improvement of HR operational processes.
Support HR with data and administration related to:
Compensation reviews and bonuses.
Workforce and headcount reporting.
Systems & Data Quality
Support HR in maintaining and improving HRIS and payroll system integrations.
Ensure data consistency across HR, payroll, and finance systems.
Assist with HR reporting, audits, and compliance activities as required.
Qualifications & Experience
Required
Solid experience in payroll administration, ideally in a multi‑country or international setup.
Practical experience supporting HR operational processes.
Strong understanding of payroll, pensions, and statutory contributions.
Preferred
Experience in a growing international consultancy or professional services company.
Experience working closely with both HR and Finance functions.
Familiarity with HRIS and payroll systems.
